CSR - Customer Service Representative
JOB SUMMARY: Employee is responsible for the administrative tasks and daily customer interaction supporting the in processing and out processing of privately owned vehicles (POVs).
REPORTING RELATIONSHIP: Site Manager or Assistant Manager of VPC
DUTIES AND RESPONSIBILITIES
- Must follow all safety requirements
- Greet customers and family members with a smile and positive attitude at all times.
- Provide needed information pertaining to shipping and/or receiving their vehicle.
- Assist customers with all questions they may have regarding moving their vehicles.
- Perform a combination of clerical tasks to support administrative operations, to include creating and maintaining electronic and hard copy records and files, receiving, preparing and verifying documents, preparing reports, checking and answering e-mails and other general administrative duties
- Make appointment reminder calls the day prior to the next day’s appointment.
- Send customer e-mails
- Ensure the customer waiting area is clean, safe and welcoming.
- Ensure the hospitality area is clean and well stocked, ensure restrooms are well stocked, clean and function properly.
- Perform scanning, uploading and filing to maintain accurate data files
- Respond to routine request by e-mail, phone, in person, or by correspondence
- Perform the above duties in accordance with the IAL Standard Operating Procedures
- Maintains clean work areas
- Perform Pre-check on vehicle i.e. mileage, gas level, cleanliness etc.
- Answer phones, file, create files, documentation handling and key handling
- Prepare certified letters for mailing to customers when due.
- Other duties as assigned by Management
QUALIFICATIONS AND REQUIREMENTS
- Must have a valid US driver's license
- Must be customer oriented and possess excellent interpersonal skills to relate to people
- Must be able to perform accurate data entry tasks, scanning and uploading documents
- Communicate appropriately and demonstrate ability to work with management, staff, subcontractors, suppliers, and coworkers
- High school graduate, associate degree a plus
- Previous computer and data entry experience
- Demonstrated ability with Excel, Word, Outlook and PowerPoint
- Must be fluent in reading, writing and speaking the English language
- Must have 3 years’ customer-facing customer service experience
- Must have strong organizational skills and attention to detail
- Must always maintain a professional appearance and demeanor
- Must be punctual daily for work
